Information pursuant to article 13 of the Code regarding the protection of personal data

The information is prepared in accordance with the Regulation 2016/679/UE (General regulation on the data protection – hereafter referred to as GDPR) and with the Legislative Decree no 196/2003 (so called Privacy Policy), as amended by Legislative Decree no 101/2018. The information, suitably characterized for the reference site, is affixed near Visitor reception point.

Dear Sir/Madam, pursuant to Regulation 2016/679/UE (General regulation on the data protection – hereafter referred to as GDPR), Telecom Italia S.p.A., hereafter referred to as TIM, provides you the information on the treatment of your personal data acquired during your visit to its offices.

1) Purposes of the processing for which the provision of data is mandatory and the relative legal basis. Your personal data, including those related to any images taken for security reasons with our cameras, will be processed by TIM for purposes related to your identification and related to the access and security procedures. If you are not already in possession of a personal badge, the Supervisors/Receptionists will ask you to present a valid identification document complete with photo, for the registration of the personal details aimed at delivering a guest badge for access to the site. When the guest badge is issued, following the identification operations, the Supervisors/Receptionists will ask and record your personal data on the specific computer system or on a paper register for the purposes mentioned above. The active video surveillance system is indicated by a special sign; all the cameras installed on the outside take up only the areas adjacent to the perimeter of the building and the access gates, for purposes related to safety and protection of company assets. In any case, the cameras take only the images strictly necessary to achieve the purposes mentioned above. Your personal data will also be processed by TIM to assert or defend a right in the Judicial Seat, as well as to fulfill the obligations provided by laws, regulations or Community legislation. The provision of your data is mandatory for the achievement of the purposes; the failure to provide them results in the impossibility of accessing our offices.

2) Storage of personal data, including recorded images Access data in company offices are stored on electronic systems aimed at corporate security (for authorized personnel of external companies/bodies with a personal badge) or on the system or on paper register in use at the reception (for visitors) for a period of 6 months from the acquisition. The period of storage of images, if necessary, is normally limited to a maximum of 24 hours after registration (only in some cases the storage is extended to 48 hours), except for the need to close offices due to holidays or for investigative needs of the Judicial Authority.

3) Ways and logics to process personal dataData processing is carried out manually and/or using IT and telematic tools, with logics related to the purposes and, in any case, to guarantee their security and confidentiality.

4) Data Controller, Data Protection Officer and categories of persons authorized to the processing of personal data in TIMThe Data Controller of your personal data is TIM S.p.A with headquarters in via Gaetano Negri, n. 1 - 20123 Milano. TIM has appointed a Data Protection Officer for the Telecom Italia Group, domiciled at TIM, via Gaetano Negri, n. 1 – 20123 Milano, and reachable by sending an e-mail to the following address: dpo.Gruppotim@telecomitalia.it. The updated list of contact details of the Data Protection Officer is available on the website www.telecomitalia.com, link privacy. Your personal data will be processed by TIM Reception Staff and/or Employees of the corporate security department; only the TIM Employees of the corporate security department will be able to access the images. Employees have been authorized the processing of personal data and have received adequate operating instructions in this regard.

5) These parties to whom the data could be communicated as Data Controllers or who could be disclosed of that data processing as Data ProcessorsIn addition to the TIM Employees, some personal data processing may be performed by third parties, which, to whom TIM assigns some tasks (or part of them) to pursue the purposes referred to in point 1). These parties will operate as autonomous Data Controllers or will be designated Data Processors and they are essentially included in the following categories: a) Private security firms; b) External companies of reception services. The data will not be divulged in any case for the purposes.
